How Activishare processes personal data to help people discover events, connect, chat, pay, and manage their account.
SMS preferences
If you add an optional mobile number, we store it encrypted and never display it publicly. Verification is handled by Twilio when enabled. Event SMS and promotional SMS require separate choices, recorded with the date and consent wording version. Twilio receives the destination and message to provide delivery. You can withdraw consent here, reply STOP, or remove the number. Changing a number clears verification and SMS choices. Deleting your account removes this data. SMS delivery records are removed after 30 days; rate-limit records after expiry.
Safety checks before sharing
Photos are checked for malware and inappropriate content before sharing. When enabled, sanitized image pixels are processed by AWS Rekognition in an EU region, without captions or profile details.
Data we collect
Account details, profile interests, age and gender information you provide, city-level signup and profile locations, activities, event participation, chat metadata/content, ratings, reports, payment status, invoices, device logs, support messages, anti-spam verification signals, and partner event booking records. For new accounts, and when an existing member without a profile location next uses Activishare, we can estimate a city and country from the network IP using a database stored locally on our server. Only reduced-precision coordinates and the estimated city and country are saved with the account. When your profile details are visible, an estimated city and country may be displayed there with an “Approximate” label until you confirm, replace, or remove them. Browser location is requested only after you choose to use it. This product includes GeoLite2 Data created by MaxMind, available from maxmind.com.
Social sign-in
If you choose Google or Facebook sign-in, the provider can return an opaque account identifier, your name, email, and basic profile fields. Activishare stores the provider name and identifier with your account, and uses the name and email to prefill your Activishare profile. Access tokens, remote profile photos, contacts, posts, friends, likes, and other social content are not stored. You still provide your date of birth, username, and acceptance of Activishare’s terms directly to Activishare.
Why we use it
To run accounts, apply your People discovery preferences, recommend people/events, show administrators aggregated signup trends, enforce safety, protect signup from automated abuse, deliver paid bookings, issue invoices, prevent abuse, provide support, and improve the product.
Recommendations and email measurement
When Activishare prepares an event recommendation, it records the account, event, channel and delivery state. A successful mail transport adds the delivery time; queued or failed messages are not counted as delivered and do not prevent a retry. A signed Activishare link records the first qualifying navigation to the recommended event. Known security scanners, bots, previews and prefetch requests are excluded, although an automated service that imitates a normal browser may not be identifiable. “Not for me” feedback can adjust future event distance, activity and time suggestions. These recommendation records are deleted after 90 days and administrative reporting shows city-level aggregates rather than individual activity.
People discovery controls
You choose who can discover your profile and whether Explore, recommendations, and the People map filter by gender, age range, country, or city. Accepted connections remain in your circle. You can change or clear these choices from Preferences.
Private events
Hosts can make an event invitation-only. Private events and their addresses are excluded from public discovery, maps, event alerts, and recommendation digests. Details remain available only to the host, invited users, confirmed participants, and authorized administrators.
Profile completeness
Activishare calculates a live completeness score from profile information you choose to add. It can modestly improve recommendation visibility. Ratings, age, gender, and visibility preferences are excluded, and a low score never blocks connections or messages.
Legal bases
Contract performance for the service, consent for optional communications, legitimate interest for security and improvement, and legal obligation for accounting records.
Cookies and consent
Essential cookies are used for login, security, and service delivery. Non-essential cookies, including optional analytics or advertising cookies, require a clear accept or reject choice and can be changed from the Cookie Policy page. Activishare also keeps anonymous daily visit totals for a fixed list of public entry pages. These totals do not use cookies and do not store IP addresses, account identifiers, referrers, or full URLs.
Sharing
We share only what is necessary with hosting, payment, email, anti-spam, analytics, compliance, support, and legal providers. Event hosts and partners receive booking-relevant information needed to deliver their events.
Partner data
When a partner provides event inventory or receives attendee details, Activishare keeps import IDs, contract references, commission snapshots, and audit metadata to operate the event and reconcile payments.
External catalogue data
For authorised external catalogues, Activishare stores the source event ID, public event details, country, city, language, time zone, source and licence attribution, official outbound URL, source update time, and import status. Activishare records an anonymous aggregate outbound-link event containing the partner, event, placement, destination host, and time; it does not store an account, IP address, or user agent with that event. Opening the official listing sends you to the named provider, whose privacy and cookie practices then apply.
AI support assistant
When you use the in-app assistant, your question, recent assistant conversation, and limited account context needed to answer it may be processed by Google Gemini. This context can include your plan, town, activity interests, upcoming-event summaries, and account-status counts. Do not submit passwords, authentication codes, payment-card details, health data, or other sensitive information.
Technical diagnostics
Activishare records application and browser errors and selected application logs needed to detect failures. These diagnostics may be processed by Sentry and can include the error message and stack, page URL and query, request body, request headers and cookies, IP address, browser or Android app identifier, request ID, and signed-in account reference. Access is limited to authorised platform operators. Do not enter passwords, authentication codes, payment-card details, health data, or other sensitive information in free-text fields.
Android message notifications
If you allow notifications in the Android app, Activishare links a Firebase Installation ID to your account so Google Firebase Cloud Messaging can deliver alerts for unread direct messages, event discussions and broad club mentions. The alert contains an unread count and an Activishare path, not the message content. The current device registration is removed when the app signs out and inactive registrations stop being used after 90 days. You can disable notifications at any time in Android settings.
Retention
Account/profile data is kept while the account is active. Unengaged native event pages may be purged after 180 days, while attendance, payments and invoices, ratings, reports, comments, saved events, and moderation or operational history are retained when needed for delivery, safety, accounting, or disputes. Accounting documents are retained for statutory periods. Email delivery logs retain delivery metadata for up to 90 days; Activishare does not retain the email body in these logs. Local technical diagnostics are deleted after 30 days; externally hosted diagnostics follow the retention configured with the monitoring provider. Safety logs may be retained to prevent abuse and resolve disputes.
Your rights
You can request access, correction, deletion, portability, objection, restriction, and withdrawal of consent by contacting support. Activishare normally responds within one month after verifying the request. If you remain dissatisfied, you may lodge a complaint with your local data protection authority; in France, this is the CNIL.
